Administrative Assistant/Landscape Services Assistant

Part-Time, Seasonal

We are currently seeking an Administrative Assistant to join our dynamic company.  Reporting to the Admin Manager, this position is responsible for the smooth operation of our administrative systems, procedures, and policies, and monitoring administrative projects. As the first point of contact for our landscape customers, you will play a crucial role in delivering exceptional customer service and supporting various departments within our organization. 

In this position, you will be responsible for a wide range of tasks, from maintaining our multi-line phone system and managing customer interactions to supporting human resource functions.  Your ability to prioritize responsibilities, manage multiple projects, and work independently will be key to your success. 

Primary Responsibilities:

  • Support administrative functions to ensure efficiency, customer service, and
  • Phone answering for all departments (main calls for landscape dept., backup for garden center calls).
  • The first point of contact for landscape customers, detailing and “selling” of landscape
  • Tree/Garden Services job notifications and landscape service calls
  • Coordination of Garden Center tree plantings
  • Assist landscape department in maintaining customer management, pipeline, designer calendars
  • Schedule utility locates
  • Maintain filing systems and perform receptionist duties (e.g., customer calls, front desk, and deliveries); prepare, receive, and distribute messages and mail
  • Maintain office supply stock
  • Human Resources support
  • Utilize Microsoft Outlook, Word, Excel, company software applications, and standard office equipment
  • Provide excellent service (e.g., accurate, complete, and timely) to clients, vendors, and company staff in a courteous and efficient manner

Basic Qualification:

  • One year of professional experience involving administrative support, clerical responsibilities or related training desired
  • Ability to prioritize job responsibilities and maintain own time management
  • Ability to work independently and manage multiple projects simultaneously
  • An interest in learning the landscape and garden center business
  • Assist with organizing and setting up company events
  • Ability to work flexible hours. More in peak season, less during non-peak.
  • This position is a seasonal position. Our peak season is generally April – October, with a higher peak from April – July.  This position also requires flexibility with hours.  Some days/weeks will require 30-35 hours and others will require less.  The winter months will be a lay off period due to company seasonality.
